With worktime transfer, your employees can offer a scheduled worktime to colleagues, who can then take it over. If your company uses the Approval method, you decide who gets the worktime. Colleagues can put themselves forward, but the transfer only goes through once you approve it as planner.
Which method is active is set by someone with access to the settings (Enabling worktime transfer).
Does your company use “First come first served”? Then this article does not apply to you. Transfers are handled fully automatically: there is no counter on your home screen and no transfer overview in the schedule. You can have someone with access to the settings switch on email notifications, so that you can see afterwards which transfers took place.
Staying informed
There are two ways.
On the Strobbo home page: a counter shows in real time how many transfers are waiting for your decision. Click it to go to the schedule.
By email: this has to be set up by someone with access to Management → Settings → Notifications. The emails are bundled and sent 8 hours after the first transfer, so for quick follow-up it is better to check the Strobbo home page.
Viewing worktime transfers
Go to the schedule. At the top right, to the left of the blue More actions button, you will find the worktime transfers button. Click it to open the sidebar.
There you see all transfers for which at least one colleague has put themselves forward, listed one below the other. An offer that nobody has responded to yet does not appear there. Open the worktime to see who has volunteered to take it over.
For each transfer you see the day and date, the workspace, the work area, and who is offering the worktime and who wants to take it over.
Because the sidebar stays open next to your schedule, you can check every employee’s schedule while you decide.
Approving a transfer
Open the worktime transfers sidebar.
Click the worktime you want to handle.
Select the colleague who may take it over.
Click Approve.
The worktime moves from one employee to the other straight away.
If several transfers are open, you can handle them all in the same sidebar.
You cannot refuse a transfer. If you approve nothing, the worktime simply stays with the original employee.
What you see afterwards
In the schedule, the original worktime turns red for the employee who offered it: it is no longer theirs. For the colleague taking it over, it appears in green. In the sidebar, the completed transfer gets a check mark.
Both employees - the one offering and the colleague taking over - get a notification of your approval in the Strobbo app (Worktime transfer: offering and taking over).
Note: until you approve, the worktime remains the responsibility of the employee who offered it — even when candidates are already waiting for your decision. If you approve nothing, that employee is still expected at work.
When an approval is blocked
Strobbo checks twice whether the transfer is allowed: when the colleague accepts, and again when you approve. The schedule may have changed between those two moments.
If the transfer is blocked by a scheduling validation rule, you see which rule it is. You can then pick a different candidate, or adjust the schedule first.
