Enabling worktime transfer

Swap, shift swap, transfer, worktime transfer, configuration, notification

Worktime transfer lets employees offer their scheduled worktime to colleagues, who can then take it over. The feature is switched off by default.

How do you set up worktime transfer?

You need access to the settings.

  1. Go to Management → Settings → General → Worktime transfer.

  2. Switch on Worktime transfer.

  3. Choose the transfer method:

    • First come, first served: the first colleague who accepts the worktime takes it over straight away.

    • Approval: colleagues can accept the work time but join a queue - the planner then decides who gets it.

Note: if you change the method later, this applies to new requests only. Requests already under way follow the method that applied when the worktime was offered.

  4. Click Save.

Employees can now offer their worktime through the Strobbo app (Worktime transfer: offering and taking over).

Notifications about worktime transfers

There are two ways to stay informed: in Strobbo itself and by email.

In Strobbo

Using Approval? The home screen shows you straight away how many transfers are waiting for a decision. Click the counter to go directly to the planning.

With First come, first served, there is nothing to decide, so there is no counter.

By email

This works with both methods (Approval and First come, first served).

  1. Go to Management → Settings → Notifications and select the relevant workspace, if applicable.

  2. Enter one or more email addresses that should receive a notification.

  3. Click Save.

When do you get an email?

As soon as a colleague accepts an offered worktime, an 8-hour window starts. Everything that comes in during that window is bundled into a single email, which you receive once the window closes - whether that is one transfer or a hundred. That way we try not to flood your mailbox.

This applies to both methods. With Approval, transfers do appear on your home screen straight away. So if you want to follow up quickly, that is where to look.

Applying planning validation rules to worktime transfers

You can also apply existing planning validation rules to worktime transfers. A transfer that goes against such a rule is then blocked. You switch this on per rule.

  1. Go to Management → Settings → Planning validation rules.

  2. Click the pencil next to the rule you want to edit.

  3. Tick Blocks worktime transfers.

  4. Click Update.

When are the checks made?

From then on, Strobbo checks at two moments.

  • When a colleague accepts the worktime. If this goes against a rule, the acceptance is blocked. The colleague sees that a validation rule is blocking it, but not which one. If in doubt, they contact their planner.

  • When the planner approves. This only applies with the Approval method. Here too, the transfer is blocked if it goes against a rule. The planner does see which rule it is. (Worktime transfer: approving as a planner)

We check twice because the schedule can change between the worktime being offered, accepted and approved. What was fine yesterday may clash with your rules today.
