Worktime transfer: offering and taking over

Swap, shift swap, transfer, worktime transfer, replacement, accept

Written by Mustafa Ozzobuoglu

With worktime transfer you can offer a scheduled worktime to your colleagues. If your schedule changes at the last minute and you can arrange a replacement yourself, you can do it all through the Strobbo app. Your employer has to switch this feature on before you can use it.

Important: until the transfer is final, the worktime stays your responsibility. That also applies when someone has already accepted but your planner still has to decide. If you hear nothing, you are expected at your original worktime.

Two methods

Your employer decides how transfers work. Ask your employer which method is active where you work.

  • First come, first serve: the first colleague who accepts takes over the worktime straight away. The invitation disappears for everyone else.

  • Approval: colleagues can accept, but they join a queue. Your planner decides who gets the worktime.

Offering your worktime

  1. Select one of your own future worktimes.

  2. Click Transfer worktime.

  3. Choose who you want to offer the worktime to. You can search, tick colleagues one by one, or select everyone at once. Then click Next.

  4. An overview of your request appears. Click Send invites.

  5. You get a confirmation that the request has been sent.

You only see active colleagues linked to the same work area as the selected worktime.

Following up on your request

Worktimes with an open request are marked with the two-arrow icon.
Important: as long as the worktime is green, it is still your responsibility and you are expected at work.

Cancelling your request

You can withdraw your offer as long as the transfer is not final. With Approval, that means you can still cancel after colleagues have accepted, as long as your planner has not decided yet.

  1. Select the worktime with the two-arrow icon.

  2. At the bottom of the screen, click the option to cancel the transfer.

  3. Confirm in the message that appears.

The invitation then disappears for all your colleagues, and the two-arrow icon disappears from your worktime.

Taking over a colleague’s worktime

Viewing the invitation

You get a notification straight away when a colleague invites you.

  1. Click the bell (notifications) at the top right of the screen.

  2. Open the invitation.

  3. An overview of the request appears.

You can also find open invitations on the Worktimes page.

Accepting

  1. Open the invitation through your notifications or through Worktimes.

  2. Click Accept.

What happens next depends on the method.

  • With First come, first serve, the worktime is yours straight away (the colour changes from blue to green), provided there is no conflict. Your colleague no longer sees it in their schedule.

  • With Approval you join the queue (the colour changes from blue to orange). The worktime appears in your app marked as awaiting approval. Once your planner approves the transfer, the worktime is yours (and the colour changes to green).

When a transfer does not go through

Strobbo checks whether the transfer is allowed. If it is not, you get a message explaining why. Possible reasons:

  • an overlap with an existing worktime;

  • an overlap with an absence;

  • a scheduling validation that does not allow the transfer, for example because you are already scheduled for too many hours that week.

If in doubt, ask your planner for help.

Declining

  1. Open the invitation through your notifications or through Worktimes.

  2. Click Decline.

  3. Confirm in the message that appears.

You cannot view the declined worktime afterwards. Colleagues who were also invited can still accept. If you declined by mistake, ask your colleague to invite you again.
