How to manage historical data

With historical data, you can keep track of changes to an employee’s employment situation from a specific date.

For example, if an employee changes their employment status, contract hours or another employment detail from next month onwards, you can schedule this change in advance in Strobbo.


📍 Where can I find the employment data?

Go to:

Management → Users → Select a user → Company

The tab will have the name of the company.

The page consists of two main sections:

  • 🕒 Timeline on the left: shows all versions of the employment data.

  • 📝 Form on the right: shows the details of the selected version.

Below the historical employment data, you will also find the form for configuring workspaces. These settings are not historical.

Selecting a version

When you select a version in the timeline, its data is loaded into the form.

New version at the top of the timeline is not a saved version. It is a blank form, automatically prefilled with the data from the most recent version.




🕒 Timeline statuses

Each version in the timeline can have a different status.

The version falls within a closed payroll period or week closure and can no longer be edited.

The data from this version is currently loaded into payroll.


➕ Creating a new version

Do you want a change to become active from a specific date? Create a new version.

How to do this:

  1. Click New version at the top of the timeline.

  2. Select the desired start date.

  3. Change the required employment data.

  4. Click Save in the top-right corner.

The data from the most recent version is automatically copied. You only need to change the fields that are different.

💡 Example

An employee currently has the Student employment status but will become a Flexi employee next month.

  1. Select New version.

  2. Choose the first day of next month as the start date.

  3. Change the status from Student to Flexi.

  4. Click Save.

Strobbo automatically closes the previous version on the day before the new start date. The new version becomes active from the selected date.

Click Reset to restore the original values.


✏️ Editing a version

Select the version you want to edit in the timeline and make the necessary changes.

Then click Save in the top-right corner.

⚠️ Important rules

To preserve a valid employment history:

  1. Start dates of past versions cannot be changed.

  2. Locked versions cannot be edited.

  3. Changes to a version are not automatically copied to later versions.

If you have several future versions and make a change that should also apply to those versions, you must update each future version separately.

Strobbo will show a warning when saving.


📅 Scheduling a change in advance

You can schedule employment changes before they actually take effect.

For example, an employee will work more hours from 1 September.

  1. Click New version.

  2. Select 1 September as the start date.

  3. Adjust the contract hours.

  4. Click Save.

The scheduled version appears above the active version in the timeline.

Until the start date, you can still:

  • ✏️ Edit the version

  • 📅 Change the start date

  • 🗑️ Delete the version

On the start date, the scheduled version automatically becomes active.


🛠️ Correcting the active version

Sometimes you don't want to schedule a change, but correct information that was entered incorrectly.

When editing the current active version, Strobbo asks what you intend to do.

🆕 Create a new version — default

Choose this when the employee's situation changes from a specific date onwards.

You choose a new start date and the current version remains unchanged.

Example:
The employee will work more hours from 1 September.

➡️ Choose Create a new version.

✏️ Edit the current version

Choose this when the information was already incorrect from the original start date.

The existing version is then rewritten from its original start date.

Example:
The employee was given the wrong employment status when they started.

➡️ Choose Edit the current version.


🕰️ Correcting a past version

To correct an old version:

  1. Select the relevant version in the timeline.

  2. Change the required information.

  3. Click Save.

  4. Confirm the warning.

⚠️ The correction only applies to the period covered by that version.

The change is not automatically applied to later versions.

If the same mistake also exists in later versions, correct those versions separately.


🗑️ Deleting a version

You can only delete future versions that are not active yet.

How to delete a version:

  1. Select the future version.

  2. Click Delete in the top-right corner.

  3. Confirm the deletion.

The previous version will then be extended again until the next valid version.


📅 Start date rules

Strobbo makes sure the timeline always remains valid.

Two versions can never start on the same day.

🔒 Locked employment versions

An employment version becomes locked when its period overlaps with:

  • a closed payroll period, or

  • a closed time clock period / week closure.

A locked version is recognisable by the 🔒 lock icon in the timeline.

The reason for the lock is shown above the form.

⚠️ What does this mean?

A locked version is read-only.

You can no longer edit its employment data.


💶 Apply to payroll

Some employment data needs to be manually loaded into payroll in certain situations.

This is particularly important when an employee's employment data changes in the middle of a payroll period.

Use Apply to payroll to load the correct employment data into payroll.

When a version has been applied to payroll, a green checkmark ✅ appears next to it in the timeline.


📊 What changes elsewhere in Strobbo?

Because employment data is now historical, Strobbo looks at the employment data that is valid for each individual day.

This is particularly important when a change occurs in the middle of a period.


👥 Employee overview — Excel

The company-related columns in the Excel overview are now read-only.

You can no longer edit this data directly in the grid.

To change employment data:

➡️ Go to the employee's profile.


💶 Payroll

Payroll shows a warning when employees have an employment change during the selected period.

You can open the warning to see more details about the changes.

This is especially important when an employment change occurs mid-payroll period.


⏱️ Time clock overview

Weeks in which contract hours or overtime tracking change during the week are flagged.

When closing the week, Strobbo asks you to check the correct minimum and maximum values for each employee.


📅 Planning

Week and day view

The employee cards in the planning show a warning on the employment status when an employment change occurs during the week.

Hover over the employee to see an overview of the relevant employment changes.


⚠️ Planning validation rules

Planning validation rules take the employment data for the relevant days into account.

A change in the middle of a week can make it impossible to meaningfully evaluate a rule.

For example, if a rule checks contractual hours and those hours change during the week, one result for the entire week would not be meaningful.

Strobbo shows a warning in:

  • the planning validation sidebar;

  • the send worktimes screen.

🔴 Red: the rule was configured as blocking.

🟠 Orange: the rule was configured as a warning.


📤 Planning export

Mid-period employment changes are also shown in the planning export.

In Excel:

  • the value at the start of the week is displayed;

  • the value is marked orange if it changes during the week;

  • an overview of the changes is shown at the bottom of the sheet.


🏖️ Absences

When creating an absence, Strobbo takes the employee's working hours for the relevant day into account.

The duration of a full or half day is calculated based on the work schedule or weekly working hours.

📅 Selecting multiple days

If you select multiple dates that cover different employment versions, Strobbo displays an information message.

The preview is based on the first selected day, but when the absences are actually created, Strobbo takes future employment changes into account.

⚠️ Important

If an absence already exists during a period for which you later create a new employment version, the existing absence is not automatically updated with the new duration.


📋 Dimona

Dimona works slightly differently from absences.

If you create a new employment version while Dimona declarations already exist during that period, Strobbo asks whether you want to update the existing Dimona declarations.

This works in the same way as before historical employment data was introduced.
