Default Planning per employee

Introduction

A default planning is a recurring planning that is created per employee. It can be weekly or span multiple weeks. These plans are automatically repeated for as long as you want.

Two examples:

  1. Tom is a flexi worker and works every Saturday from 11:00 to 20:00. You can create a default planning for this day.

  2. Anisa is a permanent employee. In week 1, she always works on Monday and Tuesday from 6:00 to 14:00. In week 2, she always works on Thursday and Friday from 14:00 to 22:00. Both weeks can be configured within a single default planning.

Getting started with a default planning

To add a default planning, proceed as follows:

  1. Go to the planning

  2. Click on the three dots next to the employee’s name

  3. Select “Default plannings”

Creating a new default planning

  • Click “Add new default planning” (if none exists yet or if you want to create an additional one).

  • You can change the name of the default planning. This is useful if you create multiple default plannings for the same employee.

  • If needed, you can adjust the start date. By default, Monday of the current week is selected.

  • You can also set an end date. This determines until when the planning is valid. After this date, the planning will no longer be created automatically.

Adding working times to a default planning

  • Click on a day to add a working time.

  • Fill in From, To, and (optionally) Break.

  • Select the correct work area.

  • If needed, add a remark.

  • Click Save to store the working time.

Repeat these steps to complete the entire week.

Click Save again to store the complete default planning.

Editing, copying, and deleting a default planning

Using the three dots, you can edit, copy, or delete a default planning.

Adding an extra week to a default planning

Do you want to add a second week?
Click “Add week” below the last week.

You can add as many weeks as you like.
⚠️ Please note: only the last week can be removed.

Recognising a default planning in the planning

Default plannings are automatically loaded into the planning.
You can recognise them by the icon with two arrows.

Viewing or editing a default planning

If you want to view or edit a default planning, you can do so in two ways:

  • Click on the three dots next to the employee’s name and select “Default plannings”

  • Or via a default working time itself (a working time marked with the two‑arrows icon): click the three dots and choose “Edit default planning”

I deleted a day or a full week. What now?

No worries — you can easily reapply the default planning for all employees.

  • Click More actions in the top right corner

  • Select Apply default plannings

The missing default plannings will be added again automatically. We make sure that no duplicate default plannings are created.

⚠️ Note: this action is applied to all employees at once and cannot be performed per employee.

Making changes: good to know

Changes made directly in the planning

When you modify a default planning directly in the planning view, the adjusted working time is converted into a regular working time.

The two‑arrows icon will disappear.

Updating an existing default planning

When you update an existing default planning (for example, changing the end time of a working time or moving a working time to another day in the default planning), you will see a warning when saving:

  • Future working times linked to a default planning – not sent yet (grey): these working times will automatically be updated.

  • Future working times linked to a default planning – already sent to the employee (brown, blue, or green): if you also want to update these, enable “Also update sent working times”.

    • Important: the updated working times will be recreated as grey working times, meaning you will need to send them again to the employee.

  • Past working times linked to a default planning: these will not be changed. If adjustments are required, they must be made manually in the planning.
