Breaks not clocked in? No stress! 😌
If your employees don’t clock in and out for their breaks, but those breaks still need to be added to their worked hours, we’ve got a few handy options for you.
⚙️ This configuration cannot be viewed or changed by yourself.
If you have questions about how this is set up for your organization, or if you’d like to use or modify it, you can request this via our Chat with Support.
Automatic Break Options
Automatic breaks can be configured in two ways, so depending on how your organization operates, you can choose one of the two options.
It is not possible to combine both configuration methods.
Include Break from the Schedule 🗓️
Have you already added the break in the schedule?
Then this option ensures the break is automatically added to the time clock registration. Super easy! 🙌
Automatic Break via the Time Clock ⏰
The break can also be configured based on the clocked hours.
In this case, we don’t look at the scheduled break, but at the actual time worked by the employee and the rules we’ve set for it.
You’ll need the following information:
After how many worked hours should the break be granted?
How long should the break be?
For which statute/statutes?
Example Configuration
A possible example of automatic break based on the time clock is as follows:
For students:
If they’ve worked at least 04:00, a 30-minute break should be granted.
If they’ve worked at least 06:00, a 45-minute break should be granted.
For permanent employees:
If they’ve worked at least 06:00, a 30-minute break should be granted.
If multiple rules are set for a statute, the highest applicable rule will be used. So if a student has worked at least 04:00 but less than 06:00, they’ll receive a 30-minute break. If a student has worked more than 06:00, they’ll receive a 45-minute break.
Important Information
Breaks cannot be configured per individual employee.
This can only be done per statute if you choose breaks based on the time clock, or for everyone if you choose breaks based on the schedule.
With breaks based on the schedule, you can enter custom break durations for individual employees.
Employees can still manually clock their breaks via the time clock.
If someone clocks less break time than the automatic setting, the system will automatically supplement it to the minimum break duration.
If they clock more, the clocked break time will be used.
If you manually adjust breaks in the time registration, the system will not automatically change them.
Breaks are not linked to a specific time of day (e.g., between 1 PM and 2 PM).
If you want that, employees must clock in and out for their break themselves.
Frequently Asked Questions
Someone worked more than x hours, why don’t I see the break?
The automatic break is added during the night, so for shifts worked today, the break will only be visible the next day. If someone works a night shift, the break will be processed the day after the shift ends.
