Planning validation rules: minimum break validation

This validation rule will check the required break is applied to a workday.

🛠️ How to set up the rule

  • Click on Management in the main menu.

  • Go to Settings.

  • Click on Planning Validation Rules.

  • Click the green “Add” button in the top right corner.

  • Select the desired rule, in this case: “Minimum break validation”.

💡 How to fill in all fields correctly

Choose a title and description

  • Title:
    Give the rule a clear and recognizable name, for example:
    “Minimum 30-minute break after 6 hours of work”.

  • Description:
    Add a short explanation of why this rule is set.
    For example: “Everyone must receive a 30-minute break after 6 hours of work.”

Select the correct statutes

Under the “Statutes” field, you’ll see a list of all available statutes in your organization.

  • By default, all statutes are selected.

  • Deselect the statutes for which this rule does not apply.
    For example: if the rule only applies to full-time employees, uncheck the others.

Parameters

  • Lower boundary: Minimum number of worked hours before a break is required (hh:mm)

  • Required break: Break duration (hh:mm)

  • Only validate assigned breaks: Do not count rest periods between work times on the same day.

📘 How does this rule work?


This validation rule helps you automatically check if employees take enough breaks during their workdays.

For each workday, the system checks:

  1. Are the worked hours greater than or equal to the configured lower boundary?
    ➤ If yes, we continue to step 2.

  2. Is the required break present?
    ➤ If not, the system will trigger a warning or block, depending on your settings.

You decide how breaks are counted:

“Only validate assigned breaks” is enabled:
➤ Only breaks explicitly assigned to work times are taken into account. Time between shifts does not count as break.

Not enabled:
➤ Time between two shifts on the same day is also counted as break time, even if no explicit break is assigned.

📘 Examples – Break Rule

Setting: 30-minute break after 6 hours of work
This validation rule checks if enough break time is planned on longer workdays.

“Only validate assigned breaks” NOT checked

Break time between shifts is counted.

Valid example:
John works from 10:00–13:00 and again from 18:00–21:00 → 6 hours total, with a 5-hour gap = passes rule.

Invalid example:
Jane works from 10:00–18:00 without a break → 8 hours straight = warning.

Invalid example:
Jim works from 10:00–14:00 and 14:00–18:00 with no break → no gap between shifts = warning.

“Only validate assigned breaks” CHECKED

Only breaks assigned within shifts are counted.

Valid example:
Jane works from 10:00–18:00 with a 30-minute assigned break → passes rule.

Invalid example:
John works from 10:00–13:00 and 18:00–21:00 with no assigned breaks → time between shifts does not count = warning.

👀 How to spot a warning in the planning:

  • A yellow dot will appear on the bell icon (notifications) at the top of the planning screen.

  • Click the bell icon to open the notification.

  • You’ll see a list of employees who are not compliant with the configured rule.

💡 Tip: Click the notification to quickly navigate to the relevant employee or issue in the planning, so you can fix it right away.
