Planning validation rules: planned more than contractual hours

This validation rule checks whether an employee is scheduled for more hours than contractually allowed.


For this rule, we use the hours entered in the employee's profile under "work hours/week."

🛠️ How to set up the rule

  • Click on Management in the main menu.

  • Go to Settings.

  • Click on Planning validation rules.

  • In the top right corner, click the green “Add” button.

  • Select the desired rule, in this case: “Planned for more than contractually allowed hours.”

💡 How to fill in all fields correctly?

➤ Choose a title and description

  • Title:
    Give the rule a clear and recognizable name, for example:
    “Scheduled more than contractual hours”.

  • Description:
    Add a short explanation of why this rule was created.
    For example: “Full-time and part-time employees may not be scheduled beyond their contractual hours.”

➤ Select the correct statutes

Under the “Statutes” field, you'll see a list of all available statutes within your organization.

  • By default, all statutes are selected.

  • Deselect the statutes for which this rule does not apply.
    For example: if the rule only applies to full-time employees, uncheck the other statutes.

Tip: Contractual hours for extras, flexi-jobs, and students are often set to 0.
So don’t forget to deselect those statutes!

👀 How to recognize a warning in the schedule:

  • At the top of the schedule, a yellow dot will appear on the bell icon (notifications).

  • Click the bell to open the message.

  • You’ll see a list of employees who do not comply with the applied rule.

💡 Tip: Click on the notification to quickly navigate to the relevant employee or scheduling error and correct it immediately.
