Planning validation rules: planned outside availability

This validation rule ensures that an employee cannot be scheduled outside their standard availability or additional availability.

You can apply this rule to all employment types, or only to selected ones.

🛠️ How to set up the rule

  1. Click on Management in the main menu.

  2. Go to Settings.

  3. Click on Planning validation rules.

  4. In the top-right corner, click the green “Add” button.

  5. Select the desired rule, in this case "Scheduled outside availability".

💡 How to fill in all fields correctly?

Choose a title and description

  • Title:
    Give the rule a recognizable name, for example:
    “Scheduled outside availability – hospitality”

  • Description:
    Add a short explanation describing why this rule has been set up.
    For example:
    “Students are not allowed to be scheduled outside their availability.”

Select the correct statutes

Under the “statutes” field, you’ll see a list of all available types within your organization.

  • By default, all types are selected.

  • Deselect the employment types to which this rule should not apply.
    For example: if the rule only applies to flexi-job workers, uncheck the other types.

⚠️ Default or Extra availability

If the employee has no extra availability, we will always refer to the default availability.

Default availability is set per company:

  • If a default availability is set for a company, we will always use that.

  • If no default availability is set, we fall back to the main company.

  • If the main company also has no default availability, then the worktime is always considered invalid (unless there is additional availability on that day).

When an employee has extra availability on the day of the worktime, we will check whether the worktime falls within the hours of that extra availability.

👀 How to recognize a warning in the schedule:

  • At the top of the schedule, a yellow dot will appear on the bell icon (notifications).

  • Click the bell to open the message.

  • You’ll see a list of employees who do not comply with the applied rule.

💡 Tip: Click on the notification to quickly navigate to the relevant employee or scheduling error and correct it immediately.
