Planning validation rules: Min/Max hours per timeframe

This validation rule ensures that an employee is not scheduled for more or fewer hours than allowed within a specific time period.

You can apply this rule on a daily, weekly, or monthly basis.

Example 1: Minimum of 4 hours per day

This means an employee must be scheduled for at least 4 hours each day.
👉 The rule will be triggered if the employee is scheduled for less than 4 hours on any given day.

Example 2: Maximum of 50 hours per week

In this case, an employee should not be scheduled for more than 50 hours between Monday and Sunday.
👉 The rule will be triggered if the total scheduled hours exceed 50 hours within that week.

🛠️ How to Set Up the Rule

  1. Click on Management in the main menu.

  2. Go to Settings.

  3. Click on Planning Validation Rules.

  4. In the top right corner, click the green “Add” button.

  5. Select the desired rule — in this case, “Min/Max working hours in a specific period”.

💡 How to Correctly Fill in All Fields

Choose a Title and Description

  • Title:
    Give the rule a recognizable name, for example:
    “Maximum 50 hours/week for students” or “Minimum 4 hours per day – hospitality”.

  • Description:
    Add a brief explanation describing why this rule is set.

    For example: “Students are legally allowed to work a maximum of 50 hours per week”.

Select the Appropriate Statuses

Under the "Statuses" field, you will see a list of all available statuses within your organization. By default, all statuses are selected.

Deselect the statuses where this rule does not apply.


For example: If the rule only applies to flexi-jobbers, uncheck other statuses.

Select the Desired Period

Choose whether the rule applies on a:

  • Daily basis (per day),

  • Weekly basis (per week),

  • Monthly basis (per month).

🛠️ Example: Want to check if an employee works at least 4 hours per day? Choose "Daily".

Select whether you want to check for Minimum/Maximum

Indicate the type of control you want to perform:

  • Min = a certain minimum number of hours must be scheduled.

  • Max = a certain maximum number of hours can be scheduled.

🛠️ Example: Choose “Max” if you want to allow no more than 50 hours per week.

Select the number of periods (weeks/days/months) the rule should apply to

Determine how many consecutive days, weeks, or months the rule should cover.
For example:

  • Choose 1 week to check within a single calendar week.

  • Choose 2 weeks to calculate an average over two weeks.

Min/Max working hours the rule applies to

Enter the exact number of working hours that apply.
For example:

  • Min = 4 means a minimum of 4 hours is required.

  • Max = 50 means a maximum of 50 hours is allowed.

All done, click on the green "add" button.

⏱️ How to recognize a warning in the planning:

At the top of the planning, a yellow dot will appear in the bell icon (notifications).

Click on the bell to open the notification.

You will see a list of employees who do not comply with the set rule, including details about the violation (e.g., too few or too many scheduled hours).

💡 Tip: Click on the notification to quickly navigate to the relevant employee or error in the planning and make the necessary adjustments.
